Our digital headquarters: how AI makes work faster and more fun

What you see above is not a game. It is our headquarters, as it looks on an ordinary working day. Every desk is an AI employee, the dog is our Watchdog, and everything that happens is real work: a customer question, an invoice, a bug, a contract. The tasks in the video are made up, but this is what it looks like every day.

We built it for ourselves first. By now we cannot imagine running the company without it.

What is a digital office?

A digital office is more than a pile of smart tools. It is a team. Every department has its own AI employee with a clear job:

  • Support answers customer questions and solves small problems.
  • Admin books invoices and matches them to the bank.
  • Dev picks up bugs and small improvements in the software.
  • Onboarding sets up new customers.
  • Legal reviews contracts and terms.

Each has its own desk, its own rules and its own memory. They know what was agreed before and carry on where they left off.

How work comes in

Our work comes from everywhere: WhatsApp, email, Google Chat, Intercom. In an ordinary office that means someone has to read it all and forward it to the right person. Or, more often, something gets stuck because everyone thinks someone else will pick it up.

Our Watchdog does that job. It reads along in every channel and brings each message to the team that should handle it:

  • A customer question on WhatsApp goes to Support.
  • An invoice by email goes to Admin.
  • A bug reported in Google Chat goes to Dev.
  • A new customer via Intercom goes to Onboarding.
  • A contract by email goes to Legal.

When a job is bigger, an AI employee brings in helpers of its own. They run tests, go through logs or look up a payment. A lot happens at once, and nobody has to wait.

Working with colleagues

A digital office does not replace your people. It gives them different work. Our AI employees and colleagues work together through tickets:

  • Every request becomes a ticket with one owner. That can be an AI employee or a colleague. Someone is always responsible.
  • If you cannot solve it yourself, you hand it on to whoever can do it best. Another AI team, a developer who reviews the code, or a colleague who gives the customer a call.
  • Colleagues get their tasks in Google Chat. When a colleague asks for something, that becomes a ticket too, with a short message once it is done. Nobody has to chase for an update.
  • Customer contact stays with Support. The customer keeps one point of contact, even when three teams work on their question behind the scenes.

Why it is more efficient

Nothing falls through the cracks. Every message ends up somewhere, and every ticket has an owner. It sounds simple, but it is exactly where most companies go wrong.

Work happens in parallel. Where a person does things one after another, AI employees and their helpers work side by side. The invoice gets booked while the bug is investigated and the contract is read.

The work is ready when you start. The office does not stop at five. What comes in during the evening has been looked into by the next morning, ready for your approval.

Everything is visible. At a glance you see who is working on what and who is waiting for you, on your phone too. No more status meetings just to know where things stand.

Why it is more fun too

This is the part that surprised us most.

Less dull work. Retyping invoices, forwarding emails, checking whether something has been picked up: that work is largely gone. Colleagues have time for the work where a person makes the difference, like calling a customer, thinking along and coming up with something new.

Peace of mind. You do not have to keep everything in your head. Whatever needs attention flags itself: the Watchdog walks to the desk that is waiting for you, and barks.

It is simply fun to watch. An office where you see the dog walk around and the desks fill up makes work tangible. You see your company at work. That gives energy, and it makes it easy to explain to others what is going on.

People stay in charge

One rule comes first: nothing leaves the building without approval. Emails to customers, payments and releases wait until a person says "yes". The AI employees prepare, investigate and do the work. The decision stays with us.

That is not a limitation. It is why it works. You dare to hand over more when you know you have the final say.
